How to Delete Files from a Data Set or All Imports

Delete Files is available from a Data Set or Imports Search Results view only (that is, a drill-through search from a report, or a search of a Data Set view or the Imports view). This option enables you to delete selected document results from the appropriate Data Set (or Imports) when you are sure you no longer need these files in the Project. For example, you may have searched the Data Set to identify NIST eDocs that you do not want to be part of the Project.

Note: This operation does not delete the actual files from the import location, just from the affected Data Sets in the Project.

This type of operation should be performed before you add documents to Project Data or decide to share the Data Set.

When you select the  Delete Files option from the results, a popup warning appears to make sure that you want to perform the deletion, since the deletion is permanent (that is, you would have to import the affected Data Sets again). You must either confirm the delete operation or cancel it in the popup.

The Delete Files operation will not work under these conditions:

  • If the files you selected for deletion are part of Project Data (that is in the Project Data view, or the eDiscovery Project Discard Pile). The operation will fail (with a FAILURE in the associated Work Basket task). You would then have to remove those documents from Project Data and try again.
  • If the Data Set has been Shared. (This operation does not apply to Shared Data Sets.)

Successful deletion of the selected files will cause the following:

  • The selected files will no longer appear in the affected Data Set document list.
  • For any search results containing the deleted files, the document list will display (document unavailable) in the existing entries for the deleted files, and the Document Viewer will no longer show document information for these files.
  • Reports will be updated to reflect the changes in counts.
