View an Export Report for an eDiscovery Export Volume

Exports > Selected Export Stream > Selected Volume > Reports tab

Requires Project - Reports - View Permission, and Download requires Document Reports permission

Users in a role with the appropriate permissions can select a Volume for an eDiscovery Export Stream and then use the Reports tab to view and/or download the Export Report for the Volume.

The Export Report for a given Export Volume provides key information about the files subject to Export (document counts based on category). The contents of the report depend on whether the volume is Staged or Exported, as follows:

  • For a Staged Export Volume, the Reports tab displays a Load File Report and a Pre-Production Report.
  • For an Exported Volume that includes files other than one or more Load Files, the Reports tab displays a Load File Report, a Pre-Production Report, and a populated Production Report.
  • For an Exported Volume that includes one or more Load Files only (that is, no files other than the selected Load Files), the Reports tab displays the Load File Report, the Pre-Production Report, and an empty Production Report with the label No Data to Display.

The Load File Report, Pre-Production Report, and Production Report include the following use of color for clarity:

  • Fields that report negative values display their counts in red.

Reports Tab Toolbar

The Reports tab toolbar provides the following:

  • Update – Click this button to recalculate the reports for this report view with the latest information.

Load File Report

The Load File Report displays the following from the context of the appropriate Load File content (the manifest):

  • Documents Considered — The number of files that were considered for Export (for example, because of Tagging criteria). Note that this count does not include any Directories; Directories are not considered for Export.
  • Previously Processed Documents — This count applies when there are multiple Volumes of an Export Stream, to report the number of files that have already been exported in a previous Volume if they still meet the Export criteria. This value is shown as a negative number for clarity. For example, if 108673 documents were exported in VOL0001, and the VOL0002 Export added 1 Tagged document (to make 108674 Documents Considered for Export), this field reports the value -108673, and the Total reports a value of 1 for the total number of documents exported.
  • Family Documents Added — The number of files that were added because they are part of a family (MAG). For example, for each attachment exported, the email that contained the attachment is exported, as is all other attachments associated with that message.
  • Threaded Documents Added — The number of files that were added because they are part of an email thread. For example, for each email or attachment being exported, the associated thread and all contained attachments are exported.
  • Container References Added — The number of files for which container references (such as a PST) were added.
  • Email Attachments Removed — The number of email attachments that were removed. This value is shown as a negative number for clarity.
  • OLE Attachments Removed — The number of embedded OLE attachments that were removed. This value is shown as a negative number for clarity.
  • Archive Attachments Removed — The number of attached archives (File Archive types, Disk Image types, Message Archives, or Compressed types) that were removed, and were part of a MAG or DAG with the docclass of Message_Attachment, Message_OLE_Attachment, or EDoc_OLE_Attachment. This value is shown as a negative number for clarity.
  • Duplicates Removed — The number of duplicate files that were removed (removed from Export and from the Load File). This value is shown as a negative number for clarity. When duplicates are removed from the Load File as well as the Production, the count of the removed duplicates appears only in the Load File Report.
  • Total — The total number of files from the categories Documents Considered, Added from Family, Added from Thread, and Container References Added, minus the previously processed documents and the total number of files from the Duplicates Removed, Email Attachments Removed, and OLE Attachments Removed categories.

Pre-Production Report

When a staged Export Volume includes the Export of more than load files, the Pre-Production Report displays the following from the context of the files subject to Export:

Staged

  • Documents Considered — This is the total number of files from the Load File Total (that is, the total number of files that appear in the appropriate Load File).
  • Duplicates Suppressed — The number of duplicate files that are referenced in the Load File but are removed for Export Production. This field has the appropriate value when the Load File retains the duplicate references but the Production removes the duplicates. This value is shown as a negative number for clarity when applicable.
  • Container References — The number of files (for example, PSTs) for which only container references were captured in a Load File (if the option to Include Container References was selected). These files are not part of the Production documents.
  • Total to be Produced — The Total number of Documents to be Considered (which matches the Load File total) minus the number of Duplicates Suppressed and the number of manifest-only Container References.

Production Report

When the produced Export Volume includes the Export of more than load files, the Production Report displays the following:

Natives

This section is included if the Export requested Native files. By default, the Export includes Native files.

  • Documents Considered — The number of Native files considered for Export, which matches the value shown for the Overall Total.
  • Native Errors — The number of Native Files with exceptions upon Export (that is, Native Files that did not get Exported due to errors).
  • Total Produced — The total number of Native files produced, the Considered minus the Error files. This count is an overall count and is not reduced by the number of Native files quarantined as part of virus detection.

Text

This section is included only if the Export requested Text file versions.

  • Documents Considered — The number of Text files considered for Export, which is the value shown for the Overall Total. (Text file versions do not increase the Overall Total.)
  • Text Errors — The number of Text Files with exceptions upon Export.
  • Total Produced — The total number of Text Documents Produced, the Considered minus the Error files.

Virus

This section is included as long as the system has the Virus Detection software and the Export includes Native files.

  • Documents Quarantined —The number of Native files that were quarantined because they contain viruses. This field will report a 0 if no Native files in the Export needed to be quarantined due to viruses.

Download Option for Each Report Type

  • — For each report type (Load File, Pre-Production, and Production), you can optionally download the report information to a CSV file. When you select this option from the appropriate report, you can use the default name (EXPORT_LOAD_FILE_REPORT.csv, EXPORT_PREPARE_REPORT.csv, or EXPORT_PRODUCE_REPORT.csv) or choose another name for the CSV file, and you can select a location for the file.
