Import External Images

Project Data in Navigation Tree > right-click > Import External Images

Requires Project Data - Add/Edit Permissions

From Project Data, users in a role with permissions can use the Import External Images option to import a set of externally processed or provided images into the Project so that they can be used as baseline images.

Note: The Copy for External Imaging operation copies an entire Search Results view of native files to the designated Export Data Area, and the Import External Images option copies the processed files back. It does not support individual file selection.

This operation supports the import of OPT (Opticon files ) or LFP (Image Pro Load Files) and will filter the list of files to OPT and LFP files.

The following errors may occur during import of files (such as OPT files) subject to External Imaging:

  • A File Not Found error at a specified path in the OPT for one or more pages in a given document.
  • The document handle value is not found in Project Data.
  • An error in formatting for one or more lines in the OPT for a given document.
  • An error during the merge process for a given document.

If any of these errors occur, the Work Basket will display a Warning status for the Baseline Image Import task. From the Work Basket, you can download a CSV report that contains information about each error encountered (one error per line).

Note: In general, baseline images processed externally take top priority over any Digital Reef imaging or image exceptions.

The Baseline Image Import task will also appear in the Project Audit Log.

Import External Images Options

If users in a role with permissions have used the Copy for External Imaging option to copy the contents of an entire Search Result view to an Export Data Area for external reprocessing, they can then import the processed images back into Project Data in the application using the Import External Images option.

  • Export Data Area — Select an available Export Data Area from the drop-down list. You must select an Export Data Area in order to view the associated Folders and files.
  • Folder and File Name — Enables you to select the Folder and load file (OPT file or LFP file) and populate the Path field based on your selection. If a Folder name is truncated, you can hover over the name and a tooltip displays the entire name. Select an OPT file or LFP file that contains the processed images. You can select another file to change the population of the Path Field.

Primary Import or Cancel Options

  • Import — Click this to start the import operation.
  • Cancel — Click this to cancel the operation.

Note: After External Image Import, you can search for stored_image::<exists> to confirm that documents have stored images (TIFFs and/or PDFs) available for use during Export. In general, the stored_image field (one of the Digital Reef Analytic Properties) is populated after an external image import of baseline images (External), or once images have been generated for Export (Internal). The field contains one of the following values: Internal (generated internally), Internal - <timezone> (for a document affected by the Export time zone selected for Export, such as emails or Calendar items), External (imported images), or Error (for a document that failed conversion, for example, if the software could not create a PDF from the provided images during the import of external images). You can also view the PDF created to contain the images for a document in the Image tab/view mode of the Document Viewer. The Image tab only appears for a document that has stored images as a result of a Load File Import with processed images, External Image Import, or an Export that requests PDFs.
