Reindex a Data Set

Note: Digital Reef now restricts import and reprocessing of data to Projects using Parsing Library V2. You can no longer reindex data, or import or reprocess data in a Parsing Library V1 Project.
For a selected Data Set
Note: You cannot reindex a Shared Data Set. You can click the Reindex button as soon as you select an Index level.
Reindex Options for a Data Set
- Index Level — For a private Data Set (not Shared), you can select only an available Index Level. Available Index levels are based on the initial level selected when adding the Data Set:
- System Metadata – This Index Level will be available only if the current Index Level is Do Not Index. Once you create a System Metadata Index, you cannot upgrade its Index capabilities to one of the other Index levels. This level restricts users to a system (structural metadata) view and a restricted subset of related operations. The Metadata List identifies the system (structural) metadata fields.
- File Metadata – This Index Level will be available only if the current Index Level is Do Not Index.Once you create a File Metadata Index, you cannot change (downgrade or upgrade) its Index capabilities to another Index level. This level restricts users to a metadata-only view of file (embedded) metadata as well as system metadata. This type is also associated with a restricted subset of related operations.
- Content – This Index Level will be available only if the current Index Level is Do Not Index. If the current Index level is Content, you can upgrade to an Analytic Index Level. This Index level gives users a view of document content and document metadata, thereby providing operations that enable analysis of both content and metadata.
Note: Reindexing from the Content Index Level to the Analytic Index Level does not perform any reprocessing, nor does it update the Patterns modified since import. Use the Update Patterns option for a Data Set view to update Patterns modified since import. Note that Update Patterns is available only for Content and Analytic Index levels.
- Analytic – This Index Level will be available only if the current Index Level is Content or Do Not Index. This Index level enables users to take advantage of the additional analytics operations such as Document Similarity and Clustering. With this Indexing type, you can use a Project Analytic setting to ignore or include Stop Words for Document Similarity operations and Clustering, if applied.
After verifying or selecting the Index level to be used for reindexing, click one of the following:
- Reindex — Click this to submit a request to reindex the Data Set at the specified level. The Index Level for the Data Set, shown in theImports Summary, will change to In Progress. Note that producing an Analytic Index for a given Data Area in a Data Set could take some time to complete, depending on the size of the Data Area. System and File Metadata indexes can be created more quickly but contain much less information.
- Cancel — Click to cancel the operation.
Usage Notes for Index States
- You cannot reindex while Indexing is in progress.
- You cannot reindex a Shared Data Set that has been added to your Project.
- Once you select a state and the Index is created, you cannot select a state that further restricts the Index (that is, if the current state is File Metadata, you cannot further restrict the index to System Metadata, and if the current state is Analytic Index, you cannot restrict the index to Content Index).
- You can enhance the Index capabilities of a Content Index to upgrade it to an Analytic Index.
- You cannot enhance the Index capabilities of an existing System Metadata or File Metadata Index to take advantage of a higher indexing level.
