Create a Manifest of a View
Selected view in Navigation Tree with a Doc List > right-click > Create Manifest
Requires Document Reports Permissions
For any view with documents, you can create a file manifest of that view from the Navigation Tree (for example, a Custodian view) or from the associated summary, where you select a view. You can select the fields to include in a particular manifest generation; your selections apply to that manifest generation only, and any changes you make to the selected fields are not persistent.
Note: When you open this dialog, the title identifies the view name and the document count for that view.
You can also create a manifest for an eligible Work Basket task, which includes the following:
- Creating representation task for a Data Set
- search result views with non-zero results
- Saved Search Processing task
- Sample task
- Export Comparison task
- Workflow step from a run Workflow
Create Manifest Options by Section
The dialog is divided into the following sections:
- Fields
- File Format (default is CSV)
- Destination (default is Download)
Fields *
The Fields list contains the complete list of supported metadata fields when you open the dialog. By default, the fields in the view's current document list are preselected for you. Remember that the list of fields will vary based on the view. For example, the fields for a Data Set view are different from the fields for a Project Data view or a search results view. (Note that for a search result view, the score value shown in the Score column is always populated in the downloaded manifest for that view, even though there is no corresponding metadata field for it.)
Note: The red asterisk * indicates that at least one field must be selected in the list.
- Selected: <value> — Identifies the number of fields that are currently selected in the Fields list. If you select the top checkbox for all fields, an hourglass icon
appears and a tooltip states that including all fields may take time for the manifest to be generated.
- Field Name – The name of a metadata field.
- Filter text box – Enables you to use the Filter text box under the Field Name column on the Fields list to filter by field name. (The
icon indicates that filtering is available.) Using the Filter box enables you to pinpoint the items you want to work with based on a Filter term search containing one or more characters you enter. You can explicitly apply a filter by typing one or more characters in the text box and clicking Enter (the return key). If you type one or more characters in the text box, the software will automatically apply the filter for you, and the text box changes to a yellow background color. For any applied filter, you can then clear the filter by removing the text in the box and clicking Enter, by removing the text from the box, or by clicking the
that appears at the far right of the Filter box. Clearing a filter restores the list to its original state.
- Description – Provides the Help description for an available Export field. Hover over a long description that is truncated to see the entire description. You can also refer to The Metadata List for descriptions of these fields.
Use the appropriate checkboxes to select one or more or all fields from the list:
-
(top-level field checkbox) — Use the checkbox that appears at the top of the list of fields to select all fields. To clear the selection of all fields in the list, clear the top checkbox. If you select one or more but not all fields from the list, the top checkbox changes to
to indicate that one or more fields have been selected, but not all fields.
-
(per-field checkbox) — Use the checkbox to the left of a field name to select that field. To clear the selection of a field, clear the checkbox.
Use the following toolbar options to load field selections and control unselected field visibility in the Fields list:
- Current Doc List Fields — Resets the field selections in the list to select only the fields that apply to the view's current document list. These are the fields preselected for you when you open the dialog for a particular view from the tree. Note that if you open the dialog from a selected Work Basket task instead, you will see the default fields based on the view type. (Note that this option also resets the Select from Template drop-down, if you have previously made a selection.)
- Select from Template <drop-down with a list of templates> — Loads the field selections from either the current Project Settings for Metadata View Fields or from a Metadata View Fields template (Organization template or System template, if available based on your permissions). Your selection from the drop-down list will then control which fields become selected in the Fields list. Note that listing a System-level Export Fields template requires System-level View permission for the System Metadata View Fields. (This means you must be a System User in a role with at least View permission to see a list of System templates for Metadata View Fields.)
-
Hide Unchecked — Enables you to hide the fields in the list that are not currently selected. By default, this checkbox option is cleared to show you all fields, selected or not.
To create a manifest, you must select one of the following file formats:
- CSV (default) — Uses CSV as the file type for this manifest. This is the default.
- XML — Uses XML as the file type for this manifest.
Destination
In this selection, specify information about where you want to save the manifest, as follows:
Note: If the view for which you want to create a manifest is considerably large (and/or you have selected all or a large number of manifest fields), you may want to use the Save to Server option instead of the Download option.
- Download (default) — Generates a Work Basket task to download the created manifest to a location reachable on your local workstation. (To minimize download delays, manifests may be automatically downloaded within a ZIP file and then unzipped for you.) When the generated Work Basket task (called
Generating Manifest
for download
) is complete, right-click the task and selectDownload to download the manifest (for example, WorkBasketManifest.csv).
- Save to Server (only available for users with Connector Access permissions) — This option helps accommodate large manifests (for example, those over 2 GB). For users with Connector Access permissions, this option saves the generated manifest to an available server location using the following information:
- Export Data Area — Enables you to select an available Export Data Area from the list of available Export Areas. Consult your eDiscovery Administrator if you need an Export Area defined for you.
- File Name — Enables you to specify the name of the file saved to the Export Area. The filename extension appears based on your selected file format (that is, either the default of .csv or. xml, if you selected XML instead).
Create the Manifest or Cancel the Operation
- Create Manifest — Click the Create Manifest button when you are ready to generate a manifest for the view.
- Cancel — Click the Cancel button if you want to cancel the operation instead.
You can monitor the status of this task in the Work Basket.
