Advanced Search Selectors

Advanced Search > Tags | Custodians | Folders | Domains | Alias Lists

As part of setting up a query in Advanced Search, you can use the Selector to select one or more of the following so that you can add the items to the appropriate portion of the search:

  • Tags
  • Custodians
  • Folders
  • Domain Lists
  • Alias Lists

Each selection generates a portion of the Advanced Search query, where each item is separated by the appropriate OR, AND, or NOT, based on the field from which you launched the Selector. For example:

Selecting a Custodian adds custodian_view::<custodian_name>

Selecting a Folder adds group_view::<folder_name>.

General Selector Information

Each type of Selector enables you to select items using the appropriate checkboxes:

  • (per-item checkbox) — Use the checkbox to the left of an item name to select that item for the appropriate Advanced Search. To clear a selection, clear the checkbox.
  • (top-level checkbox) — Use the checkbox that appears at the top of the list to select all items. To clear the selection of all items, clear the top checkbox. If you select one or more but not all items in a given list, the top checkbox changes to to indicate that one or more items have been selected, but not all items.
  • Name — The name of an item, in alphabetical order. Each item has a checkbox and an icon.
  • Filter text box – You can use the Filter text box under the Name column. (The icon indicates that filtering is available.) Using the Filter box enables you to pinpoint the items you want to work with based on a Filter term search containing one or more characters you enter. You can explicitly apply a filter by typing one or more characters in the text box and clicking Enter (the return key). If you type one or more characters in the text box, the software will automatically apply the filter for you, and the text box changes to a yellow background color. For any applied filter, you can then clear the filter by removing the text in the box and clicking Enter, by removing the text from the box, or by clicking the that appears at the far right of the Filter box. Clearing a filter restores the list to its original state.
  • Documents — The number of documents assigned to a given Tag, Custodian, or Folder in the Project. This column does not apply to Domain Lists or Alias Lists.

Additional Information and Preview for a Domain List or Alias List

The Selectors for Domain Lists and Alias Lists provide the following additional information:

  • Selected: <value> — Indicates the number of selected Domain Lists or Alias Lists.
  • Description — Displays the description for a given Domain List or Alias List, if one has been configured.

When you select a Domain List or Alias List, you can preview the Domains or Aliases that are part of the List on the right side of the screen. (This panel is not populated with entries until you select a single Domain List or Alias List. ) You will see a Domain column to identify the name of a Domain (for example, someco.com) or an Alias column to identify the name of an Alias (for example, ljones@someco.com). Additionally, you can filter the list of Domains or Aliases:

  • Filter box - You can use the Filter text box under the Domain or Alias column to filter the list of Domains or Aliases. (The icon indicates that filtering is available.) If you have a large number of Domains or Aliases, using the Filter box enables you to pinpoint the items you want to work with based on a Filter term search containing one or more characters you enter. You can explicitly apply a filter by typing one or more characters in the text box and clicking Enter (the return key). If you type one or more characters in the text box , the software will automatically apply the filter for you, and the text box changes to a yellow background color. Options to OK or Cancel the Selections

  • OK — When you are done making your selections, click OK.
  • Cancel — If you want to cancel the selection, click Cancel.
