View Email and Short Message Threads on the Threads Tabs

Project Data or selected view of Project Data > Email / Short Message Threads tab

A thread is a sequence of email or short messages, beginning with the original message and including all of the replies that followed it. When email or short messages have been threaded, you can examine the threads and the messages within them in Project Data or a given view of Project Data (such as Folder, Custodian, or Search Result) on the Email Threads and Short Message Threads tabs. The Threads tabs let you see lists of all of the threads in the view, then launch the Document Viewer to list and review the individual messages in a particular thread.

Automatic Email and Short Message Threading are enabled by default for new Organizations and their Projects. This automatically threads all views of Project Data and updates the threading when messages and their attachments are added or removed. If you have the appropriate permissions, you can edit the Project Analytic Settings to enable or disable Automatic Threading, or do so in an Organization or System Analytic Settings template.

When Automatic Threading is not enabled, users can thread Project Data or any view of Project Data on demand on the Threads tabs ,as described below.

Note: When Threading has been performed, the threads tabs for a view include a thread when at least one message in the thread is in the view. Threading may take time to complete (and update), and no Threading information is available for a Search while Threading is actually in progress.

Email Threads Tab

To open a displayed thread in the Document Viewer, double-click it, or right-click it (or open the context menu using the control on the far right) and select Open Thread Inline or Open Thread in New Window. (You can also do this directly from the All Docs tab by clicking the thread icon in the Family / Thread column.)

To update Threading of all documents in the view or unthread them, select Update All Threads or Unthread Emails, respectively, from the drop-down in the upper right corner. You may want to update Threading after emails subject to Threading have been added to or removed from the Project Data; the Update All Threads button is available only if Digital Reef has detected that the view contents have changed.

If emails have not been threaded and the Email Threads tab is empty, click the Thread All Emails button to thread all emails in the view (which may take some time). When the operation is complete, the Work Basket task reports the number of threads calculated overall.

The threads list shows the following information about each Thread:

  • Tags – The Tags that have been applied to a Thread. On this tab, tagging is done on the Thread by default, not the Family.
  • Name – Displays the thread icon and the subject line of an email representing the thread, when available.
  • First Message – The date of the first message in the email thread.
  • Last Message – The date of the last message in the email thread.

Short Message Threads Tab

To open a displayed thread in the Document Viewer, double-click a thread, or right-click it (or open the context menu using the control on the far right) and select Open Thread Inline or Open Thread in New Window. (You can also do this directly from the All Docs tab by clicking the thread icon in the Family / Thread column.)

To update Threading of all documents in the view, select Update All Threads from the drop-down in the upper right corner. You may want to update Threading after emails subject to Threading have been added to or removed from the Project Data; the Update All Threads button is available only if Digital Reef has detected that the view contents have changed or if there are documents in the view that have note been threaded. If some or all messages have not been threaded, clicking Update All Threads threads all messages in the view, which may take some time, depending on the number of documents involved. When the operation is complete, the Work Basket task reports the number of threads calculated overall.

The threads list shows the following information about each Thread:

  • Tags – The Tags that have been applied to a Thread. On this tab, tagging is done on the Thread by default, not the Family.
  • Message – The text of the initial message in the thread. (If it does not contain text, "(no text)" is shown.).
  • From – The name (or phone number is the name is unavailable) of the sender of the first message in the thread.
  • To – The name (or phone number is the name is unavailable) of the recipient of the first message in the thread.
  • Chat ID – The GUID with which all messages in a given thread are tagged. (Short messages are threaded based on this value.)
  • Data Type – The type or format of the thread (for example, Cellebrite_InstantMessage or Teams_Chat).
  • First Message – The date of the first message in the thread.

Thread Actions

When you have selected one or more threads on one tab or the other (but have not selected all threads by using the top checkbox), the Document drop-down menu is available and provides the following options (as described in Work with Data Set Documents), assuming the needed permissions:

  • Add Tags – Launches the Tag dialog, from which you can select Tags to apply to a selected thread. You can also create a Tag and use it right away.
  • Remove Tags – Launches the Tag dialog, from which you can select Tags to remove from a selected thread.
  • Add to – Enables you to add messages in a thread to a selected Folder or Custodian based on permissions.
  • Remove from – Removes a thread from the selected Folder or Custodian, based on permissions. Removing a thread from a given named Custodian automatically reassigns the messages in the thread to the Unassigned Custodian. (Removing a thread from the Unassigned Custodian is not permitted; if you want to assign a Thread from Unassigned to another Custodian, perform an Add To operation to the appropriate Custodian view.
