Select Data Set(s) when Selecting a Search Target

Select Target > Filter by Data Set(s) > Select

As part of selecting a search target for a query based search, you can select one or more Data Sets (batches) that are part of Project Data to search just that data. You can also select all Data Sets that are part of Project Data.

Note: In general, you do not need special permissions to use the Filter by Data Set(s) option. However, this option does not currently apply when you are selecting a target for a Workflow, or if you perform a Metadata Bulk Search by selecting the By Metadata Field option for a Bulk Search.

Source Data Set Selection and Information

Use the appropriate checkboxes to select one or more sources of data:

  • (per-source Data Set checkbox) — Use the checkbox to the left of a source Data Set name to select that source Data Setfor the appropriate search target for a search. To clear the selection, clear the checkbox.
  • (top-level checkbox) — Use the checkbox that appears at the top of the list to select all Data Set(s). To clear the selection for all, clear the top checkbox. If you select one or more but not all Data Sets, the top checkbox changes to to indicate that one or more items have been selected, but not all items.

The following options help you filter the list of available Data Sets within Project Data:

  • Filter....You can use the Filter text box at the top right to filter the list. (The icon indicates that filtering is available.) If you have a large number of locations, using the Filter box enables you to pinpoint the items you want to work with based on a quick Filter term search containing one or more characters you enter. You can explicitly apply a filter by typing one or more characters in the text box and clicking Enter (the return key). If you type one or more characters in the text box, the software will automatically apply the filter for you, and the text box changes to a yellow background color. For any applied filter, you can then clear the filter by removing the text in the box and clicking Enter, by removing the text from the box, or by clicking the that appears at the far right of the Filter box. Clearing a filter restores the list to its original state.
  • Data Set Name NameAn alphabetical list of the Data Sets that are part of Project Data.
  • Index Level — Identifies the Index representation level for each Data Set in Project Data (for example, Content or Analytic).
  • Documents — The number of documents associated with a given Data Set in Project Data.

Once you are satisfied with your selections, click the appropriate action button:

  • OK — Once you make your selections, this button is available to set the Data Sets for the search. When you return to the Select Target dialog, the list of selected Data Sets is semicolon-separated.
  • Cancel— Cancels the operation and returns to the Select Target dialog.
