View and Calculate Organization Storage

Users in the Organization Administrator role for a given member Organization can view information about the Organization Storage and calculate the current storage usage for the Organization.

Note: Storage for data used by Organizations is selected and managed by Digital Reef and the IT Administrator; for more information, see View and Manage System Storage.

Calculate and Track Storage Usage

  • Used — Displays the current total amount of storage the Organization is using, in GB. This is the total of all document storage and index storage on which the Organization has data stored. This field is blank if the storage usage has never been calculated.
  • Calculate — If storage has never been calculated or you want a more recent total than the date shown for Last Calculated, click the Calculate button to calculate current storage usage.

View Storage Information in Detail

System storage is configured by a System User in the IT Administrator role. The table provides information about both index storage and document storage used by the Organization.

As described in View and Manage System Storage, there is one index storage location used by all Organizations to store indexes, search results, and miscellaneous data; this is typically configured on the fastest available storage to optimize application performance.

Document storage, which is used to store the extracted documents when a new Data Set is added to a Project, and if the Copy to Document Storage operation has been applied the Data Set's source files, can be configured on multiple locations. The particular location used by an Organization when a new Data Set is created depends on the IT administrator's management of the document storage locations; each Organization storing documents on a location has its own folder there, and each Data Set has its own subfolder. Thus storage by both Organizations and Projects can be distributed across document storage locations, but the entire contents of a Data Set (including source files if they have been copied) are always in one folder on one location.
