System Users with the appropriate permissions can select System Settings > Metadata View Fields to view, modify, create, and delete System templates for the Metadata section of the Document Viewer.

Metadata view fields are the fields that are displayed when you view document metadata. Because needs vary based on the types of data and eDiscovery goals involved, Digital Reef supports the definition of multiple templates for metadata view fields, as well as several other functions.

If at least one System Metadata View Fields template exists, it is loaded when you first access System Settings > Metadata View Fields and reflected in the Metadata View Fields section (fields that are included in the template) and Available Fields section (those that are not). If additional System templates have been created, you can load one of those instead, or an existing Organization Metadata View Fields template. After you make changes, you can save them to the loaded template. You can also create a new template. For Users with the needed permissions, System templates can be saved as Organization templates, to become part of the set of Metadata Views that the Organization's Users can maintain and share, rather than creating a new one for each job.

You can also download the currently loaded template as an XML file or load a template from a local XML file, allowing you to share templates among Organizations and Digital Reef systems.

Metadata View Fields Template Actions

When working with individual System Metadata View Fields templates, you can take the following actions. The options described (other than the Save button) can be selected either by right-clicking a template in the Templates pane or by clicking a template's context menu icon () on the right.

Save to a Template

  • Save any changes you have made in the Metadata View Fields list to the currently loaded template by clicking the Save button.
  • Save your current Metadata View Fields list to another template by selecting Save to Template ... for any template in the Templates pane, which displays a list of the templates available to you (based on your permissions), and selecting one to save to, automatically overwriting its current content, without warning.

Note: When saving to a template automatically overwrites its current contents, some fields, such as those representing patterns, tags, domains, aliases and excluded content, are appended to the template you save to, leaving the fields currently in the template in place.

Load from a Template

  • Load a different template by clicking the one you want in the Templates pane. If you have made changes to the currently loaded template but not saved them, you must save or discard the changes before loading a template in this way.

  • Load a different template by selecting Load from Template ... for any template in the Templates pane, which displays a list of the templates available to you (based on your permissions), and selecting one. If you have made changes to the current template but not saved them, the changes are automatically discarded, without warning.

Create a New Template

  • Create a new template by clicking the create icon,, in the upper right corner of the Templates pane, and provide a name and optional description. The new template is created with the Metadata View Fields list as it was when you clicked . If you have made changes to the currently loaded template but not saved them, you must save or discard the changes before creating the new one.

Additional context menu options for individual templates include Edit, which lets you modify the name and/or description of the selected template, and Delete, which lets you permanently delete a template.

The Available Fields List

The Field Name column in the Available Fields section lists the metadata fields that have not yet been selected as metadata view fields, in alphabetical order; you can filter it by entering a name or partial name in the filter box. Hover over a field name to see a description of the field, or refer to The Metadata List for more information.

To add fields to the Metadata View Fields list, select one or more and drag them to any spot you choose within the that list, including the end (Drag fields here ...).

You can reorder the Available Fieldslist by dragging one or more fields (using the drag control on the left) to a new location, or you can filter it by entering a name or partial name in the filter box; when the list is filtered, you cannot drag the fields to reorder them.

The Metadata View Fields List

The Field Name column in the Metadata View Fields section lists the fields that are currently selected to display when you view document metadata using the template. You can filter the list by entering a name or partial name in the filter box. Hover over a field name to see a description of the metadata field, or refer to The Metadata List for more information

To remove a field from the list and return it to the Available Fields list, click the trash icon on the right. To reorder the fields in the Metadata View Fields list, you can select one or more and drag them (using the drag control on the left) to the desired location.

A template must include at least one field in the Metadata View Fields list; you cannot save an empty template.
