Users with permissions can select from a list of all eDiscovery Exports to create an Export Comparison Report that compares a set of search results against an Export.

Users with permissions to view Project Data can see a list of Exports.

You can create an Export Comparison report as follows:

  • For a selected search result (from a query-based search of a Project Data-based view in the Search History, or from a query-based search result of a Project Data view in the tree).
  • For a Workflow (where the Export Comparison runs against the results of the final search in the Workflow).

Note: In general, do not use a Metadata Bulk Search results view to generate an Export Comparison Report. A Metadata Bulk Search currently uses a format that is not compatible with the format of an Export Comparison Report. If necessary, you can perform an ALLDOCS search of a Metadata Bulk Search results view and then use that results view to generate an Export Comparison Report.

Standalone Export Comparison Report Options

These options apply when you generate an Export Comparison from a search result document list or from the Search History:

You can filter a given list of eDiscovery Export Streams. Filtering works as follows:

Note: Assuming you have reviewed the options you need for the Export Comparison Report, double-clicking an Export in the list will select the Export, close the dialog as if you clicked the Create Report button, and generate the report.

  • Filter....You can use the Filter text box at the top right to filter the list of Export Streams. (The icon indicates that filtering is available.) If you have a large number of items, using the Filter box enables you to pinpoint the items you want to work with based on a quick Filter term search containing one or more characters you enter. You can explicitly apply a filter by typing one or more characters in the text box and clicking Enter (the return key). If you type one or more characters in the text box, the software will automatically apply the filter for you, and the text box changes to a yellow background color. For any applied filter, you can then clear the filter by removing the text in the box and clicking Enter, by removing the text from the box, or by clicking the that appears at the far right of the Filter box. Clearing a filter restores the list to its original state.
  • Exports <select Export Stream> —An alphabetical list of the eDiscovery Export Streams available in the Project, each with the icon . You can see a count in parentheses after the stream name to indicate the number of documents associated with the stream.

Note: If you select an Export that has the Remove Attached Archives option enabled, you will see an additional Work Basket called archives for export comparison report when you run the Export Comparison report.

  • Include Search Term Report (option for standalone Export Comparison report only) ─ Allows you to choose whether to include the detailed Search Term Report information as part of the Export Comparison report (in XLSX format). Since including the Search Term Report information adds time to the overall operation, you must explicitly select this option. If you do not include this option, the Reports tab will show only the Export Comparison report information (in two tables), not the Search Term Report and other standard charts. In addition, the download XLSX will only contain the Glossary and Summary tabs. If you do select the option, the Reports tab for the Export Comparison will include both the Export Comparison information as well as the Search Term Report and the other standard charts. In addition, the download XLSX will contain the Glossary, Summary, Total, and per-Custodian and per-Batch tabs.
  • Provide HTML/MHTML Sizes ─ When set, this option calculates HTML/MHTML sizes as part of the Export Comparison report. This option is cleared by default. Since this calculation can take time, the icon appears, and hovering over this icon will display the following message: Enabling this option will convert documents when the report is run. The report may take considerably longer to generate. Note that when you select this option, and the selected Export for the comparison has an email format other than Native selected (for example, HTML/MHTML), you will see a Work Basket search task called Searching for documents to convert for export comparison report.
  • Create Report (standalone Export Comparison report) ─ Generates the Export Comparison report. (As an alternative, you can double-click an Export, which selects the Export, closes the dialog, and generates the report. An Export Comparison Report Work Basket task indicates the selected Export name and the number of documents that would be exported based on the results of the Export Comparison.   • Cancel ─ Cancels the operation.

Workflow with Export Comparison Report Options

The following options apply when you generate an Export Comparison Report as part of a Workflow report operation that includes the final search term report (either the initial Workflow Run set up to perform all levels of reporting with Generate Workflow Report, Add Final Search Term Report, and Add Export Comparison Report, or while you are viewing a Workflow Report and click Generate More Reports):

  • OK (as part of Workflow) ─ Continues to run the Export Comparison report as part of the Workflow or continues as part of the additional Workflow report generation process. (As an alternative, you can double-click an Export, which selects the Export, closes the dialog, and proceeds.
  • Cancel ─ Cancels the operation.

  • Note: When you run an Export Comparison as part of a Workflow, you can either view the report information as part of the downloaded Workflow report, or you can view just Export Comparison Report information in the UI by navigating to the Reports tab for the Export Comparison's Report, which is available as a child entry of the final search of the Workflow under the Search History.
