Select a Search Target

To view and then select an available view as the target of the search operation, click the target icon or the Select Target button, available from the main search bar drop-down menu to the far right of the target box. You can select a single view as a search target for many types of searches, such as Freeform, Advanced, or Bulk Search. The list of available views that can be used as a search target depends on your permissions.

Project Data is the default view used as a search target when no other view has been selected in the Navigation Tree, or if you select a tree node that does not support search (for example, a summary view). Otherwise, the current view (if it is valid for search) is the search view used as a search target and is initially shown in the Search in box. You can change the view used as a target by clicking the target icon or Select Target.

Workflows use the Project Data view by default as a target. If you want to select a different view as the target for a Workflow, note that you must select an available Project Data-based view such as a Custodian, Folder, or Tag.

Note: When you select a target for similarity search operations such as Search by Synthetic Document and Find More Like These, you must select a Project Data-based view and also specify a Threshold value (default of 20). A search for Near Duplicates will also use a Threshold value (by default, 80). In general, adjusting the threshold yields a different number of results. You can specify a threshold value in the range 0 to 100, where 0 detects a nonzero amount of similarity or commonality. To require a higher degree of similarity or commonality, select a higher value, such as 80 or 90; to require a moderate degree of similarity or commonality, select a value such as 40 or 50. In general, the lower the threshold, the more results you will see, since you are requiring less similarity or commonality. Specifying a higher threshold value yields a smaller number of results. If you specify an invalid threshold value, a message reminds you of the valid range.

Options for Target Selection

The following options help you filter the list of available targets and/or hide targets that have no documents:

  • Filter (2+ chars) ... – You can use the Filter text box at the top right to filter the list, shown in a tree-like structure. (The icon indicates that filtering is available.) If you have a large number of locations, using the Filter box enables you to pinpoint the items you want to work with based on a quick Filter term search containing two or more characters you enter. You can explicitly apply a filter by typing two or more characters in the text box and clicking Enter (the return key). If you type two or more characters in the text box, the software will automatically start to apply the filter for you. While filtering is in progress, you will see the icon. You can still refine your filtering while the appears. When filtering is complete, the text box changes to a yellow background color. For any applied filter, you can then clear the filter by removing the text in the box and clicking Enter, by removing the text from the box, or by clicking the that appears at the far right of the Filter box. Clearing a filter restores the list to its original state.
  • Hide Empty ViewsHides any views that have no documents (that is, they are empty) from the list of available views.

Once you have the list of top-level nodes you expect to see based on your permissions, use the node controls (for example, and ) to open and close a top-level node to show or hide its associated views. Views that may be listed as targets, depending on your permissions, and the item for which you are selecting a target, include the following:

Note: Double-clicking a target will select the target, close the dialog as if you clicked the OK button, and populate the target in the target box.

  • All of Imports

  • Under Imports, a single Data Set
  • Under Exports, an eDiscovery Export Stream
  • All of Project Data
  • Under Project Data, a selection from one of the following nodes (when opened):
    • Under Custodians, a Custodian view
    • Under MediaIDs, a MediaID view
    • Under Batches, a Batch view
    • Under Folders, a Folder view
    • Under Tags, a Tag view

    Note: When selecting a target for a Workflow, you must select a Project Data-based view (Project Data itself, or a Custodian, MediaID, Batch, Folder, or Tag view).

  • Under Searches > Saved Searches, a Saved Search
  • Under Searches > Search History, a Search Result view (to see more searches in the list, click 10 more...)
  • Under Workflows and a given Workflow, a given Step in a Workflow that has been validated and run

Note: A Workflow Step appears with the Step Number, followed by Term Query or Date Range Query and a portion of the query, up to 255 characters. If a Workflow is running, you will see the spinning icon to indicate that the operation is in progress. A Workflow Step will not be available as a target if the Workflow has not been run with that Step, or if the Step currently has an error.

Individual items appear with their respective icon and name. They will also reflect their appropriate archive state (if archived, then items appear grayed out). If applicable, they will also show their number of document in parentheses. Hovering over an archived item will temporarily change the appearance of the item to an enabled (unarchived) state.

If you are selecting a target for items other than a Workflow or a Word List search, once you have your target selection, you can decide whether to additionally filter by Data Set(s), as follows:

  • Filter by Data Set(s): <DS_Name(s)> Select — Click Select to display a Select Source Data popup that enables you to filter your search by one or more source data entries. The source data entries in the list represent batches of data that are included in your Project Data. Once you make your selections, they are displayed in the box, where each Data Set is separated by a semicolon. To clear the selections, click the . Note that once you make Data Set selections, confirm your target and filter selections, and return to the main screen/dialog, you will see a filter icon to the right of the target name. The tooltip for this icon identifies the associated Data Sets.

Note: This option does not currently apply when you are selecting a target for a Workflow, or if you perform a Metadata Bulk Search by selecting the By Metadata Field option for a Bulk Search.

Confirm or Cancel the Operation

Once you are satisfied with your target selection, click the appropriate action button:

  • OK — Confirms your selection of the search target. (As an alternative, you can double-click a target, which selects the target and closes the dialog.) Your selection will be validated when you run the search. If there is an error with your target selection, a message informs you of the error.
  • Cancel— Cancels the target selection and returns to the appropriate view.

Like most dialogs, this dialog enables you to close the dialog using the that appears top right and provides a help icon (the ?). This dialog also has an icon that lets you maximize the screen.
