Add and Use Organization Templates
For users with the appropriate permissions, using templates for various Project elements makes it easy to maintain consistent settings across Projects.
Digital Reef supports the following types of templates and supplies a default template for each template type:
eDiscovery Templates
- eDiscovery Templates:
- Alias Lists — For lists of Aliases that you configure. There are no default Alias lists with Aliases; you must explicitly create them.
- Analytic Settings — For settings such as Email deduplication Settings.
- Billing Reports — For management of Billing Report information, which consists of File Type Exclusion Groups. The file types within each Exclusion Group will be excluded from billing.
- Custom Fields — For establishing custom fields that you want to display and use (for example, for a DAT Load File). This template is initially empty.
- Domain Lists — For the list of email domains that you configure. There are no default Domain lists with domains; you must explicitly create them.
- Excluded Content — For the list of blocks of content that should be automatically removed from the content index at import or reprocessing. This template is initially empty.
- Export Fields — For the list of export metadata fields you want to appear in export load files. If you select an Export Fields template during Project creation, your list of Project Export Templates after Project creation will show a copy of the template you selected (for example,
Copy of myexportfields1
) instead of the default System Created Profile. - Export Settings — For the export settings you want to use when you export data from the Project.
- Index Settings — For settings related to indexing, such as OCR processing, Numeric Settings, and Language Detection. The Stop Words setting is also included in these settings.
- Load File Import — For establishing the settings and fields needed for a Load File Import (for example, a DAT Load File).
- Metadata Search Fields — For the search metadata fields you want to be included automatically as part of all, a keyword-based search is expanded to include the specified list of metadata fields).
- Metadata View Fields — For the list of document metadata fields that should be displayed when viewing metadata for a document.
- Patterns — For the list of patterns (regular expressions) you want to use.
- Reports — For selecting the reports you want to have generated for Imports, a Data Set, and Project Data.
- Search Settings — For the search settings, which include the search syntax and search term report columns.
- Survivorship Model — For the survivorship model that should be used, based on supplied queries. This template is initially empty.
- Tags — For the set of Tags you want to use in your Project. There are no Tags in the default Tags template.
Organization Template Commands
When you select a template type from either eDiscovery Templates from the Organization Settings, a user with the appropriate permissions can use the top-level Templates context menu to perform the following action:
- Create a template by clicking the
(New Template) option, which launches the New Template properties dialog.
For a selected template, a user with the appropriate permissions can click the ellipses and use the context menu to perform the following actions:

Save as Template – Launches the Save to Template dialog, which enables you to save current settings to an available template, or select New Organization Template, which launches the New Template dialog.

Load from Template – Launches the Load from Template dialog, which enables you to load the settings from a System template or Organization template you select using the option. The loaded settings and fields then appear.

Select Set as Default, which marks the selected template as the default template. This is not available for the Default template of a given type, or for any other template already set as the Default.

Edit – Launches the Edit Template dialog, which enables you to edit the template name and/or description of the selected template.

Delete – Delete a template, which causes the display of a popup asking you to verify the deletion of the template from the Organization.
Note: Save to and Load from operations for many settings (including Analytic settings, Index settings, Reports, Metadata View, Load File Import, Billing Report, and search- and export-related settings) observe an "overwrite" behavior. For example, for a Load from operation, your current settings are replaced by the settings from the selected template/settings. Note that some settings, such as Patterns, Tags, Domain Lists, Alias Lists and Excluded Content observe an "append" behavior instead. For example, for a Load from operation, your current items are preserved and only new, unique items are added.
Project Settings Management using Templates
A user with appropriate permissions can either select one or more templates to apply as part of Project creation, select from the available Organization templates later, load settings from a template, or change settings and save those settings as templates for routine use.
At the Project level, you can also create an Export template if you need to have special Export Field mappings for Export, or define Project Load File Import information for a type of Load File prior to import (for example, to map Load File Fields).
Changes to any settings must be applied to take effect.
