Manage Project Billing Reports

Requires Project - Billing Reports - View Permissions to view these settings, and Add/Edit Permissions to make selections and save or discard changes

Note: Digital Reef now restricts import and reprocessing of data to Projects using Parsing Library V2. You can no longer import or reprocess data in a Parsing Library V1 Project.

Users in a role with permissions can manage the Billing Reports in the Project.

If you have the appropriate permissions, you can manage the Billing Report information in a Project. which consists of groups of Excluded File Types. The file types within each group of excluded file types will be excluded from billing.

The Billing Report information for excluded and included file types is reported in the Billing Summary on the Reports tab for the following views:

  • Imports
  • a Data Set
  • Project Data

Note: You can control whether the Billing Summary appears for the Imports, Data Set, and Project Data views from the Project Report Settings or an Organization Reports template. By default, this report is enabled to appear in the Imports, Data Set, and Project Data views.

As with other types of Project settings, you can manage the Billing Report information in a template (Organization or System level). (See About the Parsing Library Versions for the Billing Reports File Types for information about template versions as of Release 5.2.5.x.)

You can perform the following actions for Project Billing Reports:

  • View a list of Excluded File Type groups. The default excluded groups are as follows:
    • Compressed Types
    • Disk Image Types
    • Email Archive Types
    • File Archive Types
  • Make your own file type selections to exclude using a drag-and-drop method. If you want, you can remove existing file types from a given group.
  • Create your own groups of file types you want to exclude.
  • You can use the Filter box to view a filtered list of the available file types based on file types that contain the information you type.

About the Parsing Library Version for the Billing Reports File Types

Note: Digital Reef now restricts import and reprocessing of data to Projects using Parsing Library V2. You can no longer import or reprocess data in a Parsing Library V1 Project.

As of 5.2.5.x, the top right portion of the Billing Reports screen will identify the Parsing Library Version in effect in your Project, as follows:

  • Parsing Library Version: V2 — The Parsing Library version that applies to all Projects created as of 5.2.5.x.
  • Parsing Library Version: V1 — The legacy Parsing Library version that applied to Projects created prior to 5.2.5.x.

Note: All new Projects will use Parsing Library V2 by default. The list of file types that you see in your Billing Reports will be based on the Parsing Library version for the Project.

All Supported File Types

The left side of the Billing Reports screen displays a scrollable list of the All Supported File Types. You can drag-and-drop fields from the supported list to the appropriate Exclusion Group on the right, or you can add your own Exclusion Group and add file types to that group.

Note: A given file type can only belong to one Excluded File Type Group.

To add a file type from the All Supported File Types list to a group in the Excluded File Types list, use the following:

  • Select the icon for a given file type from All Supported File Types and drag it to the appropriate spot within a group in the Excluded File Types list.

To help you focus on a subset of file types, you can use the following to temporarily filter the list:

  • Filter text box – You can use the Filter text box under the All Supported File Types list to filter by file type name. (The icon indicates that filtering is available.) Using the Filter box enables you to pinpoint the items you want to work with based on a Filter term search containing one or more characters you enter. You can explicitly apply a filter by typing one or more characters in the text box and clicking Enter (the return key). If you type one or more characters in the text box, the software will automatically apply the filter for you, and the text box changes to a yellow background color. For any applied filter, you can then clear the filter by removing the text in the box and clicking Enter, by removing the text from the box, or by clicking the that appears at the far right of the Filter box. Clearing a filter restores the list to its original state.

Excluded File Types

The right side of the Billing Reports screen displays a scrollable list of the groups of Excluded File Types in effect and the file types within each group.

To add a group to the Excluded File Types list, use the following:

Add File Type Group — Adds a New Group entry to the top of the list (for example, the first new group will be called NewGroup1). Once you Save the group with its file types, it will appear in alphabetical order in the list of groups. You cannot save an empty group.

To edit the name of a group, click in the box for the group and make your edits. You cannot edit the name of an individual file type, however.

To delete the entire contents of a group in the Excluded File Types list, click theicon for that group.

To manipulate file types within a group in the Excluded File Types list, use the following:

  • Select the icon for a given file type in an Excluded File Types group and drag it to the appropriate spot within the group (to rearrange its position in the list.
  • Click theicon for a given file type within a group to delete that entry from the group. If you remove a file type from a group, that file type can then be added to another Exclusion Group.

Billing Reports: Save or Discard Changes

If you do not save your changes before navigating away, you will be prompted to either save your changes and continue navigating away, discard your changes and continue navigating away, or cancel your changes and remain in the current location.

  • Save – Saves your changes to the Billing Reports. This option becomes active when you make changes to the File Type Groups. If you have a new File Type Group that is not populated with at least one file type, that group will not be retained upon the save. If you have assigned a File Type Group the same name as an existing File Type Group and added one or more file types to the new group, the file types will be consolidated under the existing group upon the save.
  • Discard Changes – Discards your changes to the Billing Reports.

Billing Reports: Save to and Load from Template Options

If you have the appropriate permissions, you can save your Billing Reports settings to a template or load the settings from a template. To do this, click the ellipses to the right of Billing Reports in the tree of eDiscovery Project Settings, as follows:

Note: Save to and Load from operations for this setting observe an "overwrite" behavior. For example, for a Load from operation, your current settings are replaced by the settings from the selected template/settings. Note that some settings, such as Patterns, Tags, Domain Lists, Alias Lists and Excluded Content observe an "append" behavior instead. Note that as of 5.2.5.x, these template operations will require a match in parsing library versions (for example, you can only load existing V1 template information into V1 Project Billing Report Settings).

  • Save to Template - If you have Add/Edit permissions to Billing Reports templates in the Organization, you can use the Save to Template option to save your current settings to a selected Organization template. You can either select an existing Organization template (including the Default Billing Report settings template), or you can select the top-level (New Template,) which launches the New Template dialog. Note that as of 5.2.5.x, this operation will require a match in parsing library versions, and you will see an error, The template operation cannot be performed due to a mismatch in parsing library versions between the project and the selected template if you try to save information to a template that does not match the parsing library version of your current Settings. You can only save V1 Project Billing Report Settings into existing V1 template information or save V2 Project Settings into V2 template information. All new templates will be V2. If you try to save V1 settings to a new template, a new template will be created, but it will be a V2 template. Therefore, when you click OK for the Save to Template operation, you will see the mismatch error to indicate that the operation could not be performed as you had intended. You can then close the error popup and close or cancel the Save to Template operation.
  • Load from Template - If you have Add/Edit permissions to Billing Reports settings in the Project, you can use the Load from Template option to load settings from a selected template (from a list of available Organization templates). The loaded settings then appear and are saved automatically. Note that loading from a System template requires System-level View permission for a given Setting. (This means you must be a System User in a role with at least View permission to see a list of System templates for a particular type of template.)Note that as of 5.2.5.x, this operation will require a match in parsing library versions, and you will see an error, The template operation cannot be performed due to a mismatch in parsing library versions between the project and the selected template if you try to load template information that does not match the parsing library version of your current Settings. You can only load existing V1 template information into V1 Project Billing Report Settings or load V2 template information into V2 Project Billing Report Settings.
