Use the eDiscovery Exports Summary

Requires Exports - View Permissions for viewing Exports, Exports - Add/Edit Permissions to create an Export Stream and perform Export-related operations, and Exports - Delete Permissions to delete an Export Stream

The icon is used to identify eDiscovery Exports.

Users in a role with permissions can click Exports in the Navigation Tree to view a summary of all the eDiscovery Exports performed in the Project.

When you open Exports in the Navigation Tree, you can see individual eDiscovery Export entries, which are represented using the following:

Export Stream Name — The first time you perform or stage an eDiscovery Export, a name is assigned to identify the Export Stream, which represents an Export performed using a set of export criteria. A sample Export Stream name might be RespCandExport1. See eDiscovery Export Stream Documents for more information.

Volume Number (in the format <Export Stream Name> -< Volume #>) — A newly created eDiscovery Export Stream uses the selected set of criteria with a Volume Number of 1. An Export Stream can be exported multiple times using the same basic export criteria. Each subsequent Export of this Export Stream uses an incremented Volume number and the same basic export criteria. (Some Export criteria may be changed.) You can view and manage the Volumes associated with an Export Stream. A sample Volume name might be RespCandExport1-VOL0001. See eDiscovery Export Volume Documents for more information.

eDiscovery Export Summary

The columns in the summary display Export information. All but the Description column are shown by default.

  • Export Name — The name of the eDiscovery Export (an assigned Export Stream name). You can click a given Export name (shown in blue to indicate it is a hyperlink) to open that Export Stream. You can also double-click anywhere in the row for an Export to view that Export Stream.
  • DescriptionClosed Provides a helpful description of an item. A description can have up to 255 characters. (optional column to display, not shown by default) — The description set for the Export Stream (for example, providing the original name of the Stream before you renamed it).
  • Production State — The production status of the eDiscovery Export (for example, OPEN, STAGED, or EXPORTED).
  • Exported by — The name of the user who set up the eDiscovery Export Stream.
  • Date Created The date (full timestamp) on which the eDiscovery Export (for example, 2018-09-05 10:13:13).
  • Documents — The number of documents in the eDiscovery Export Stream.

New Export and Related Options

To add a new Export, use the New Export Stream option. You can select this option from the summary or by right-clicking on Exports in the tree. This enables you to set up a new Export Stream.

For a selected Export Stream in the Summary, right-click the Export or click the ellipses at the far right to see a menu of options. Menu options are available if you have permissions to perform those actions, and those actions are permitted based on the type of Export (Empty, Staged, or Exported).

Export Stream options except Delete require Exports - Add/Edit permissions; Delete requires Exports - Delete permissions. Actions that are not permitted will be grayed out).

Export Stream options are as follows:

  • New Export Volume... (applies to a Staged, Exported, or Empty Stream)Launches the Export dialog with the current Export Stream name and settings and enables you to modify per-Volume settings. This option applies to any type of Export.
  • Export All Staged (applies to a Staged Export only)Stages and exports all Volumes in the Export Stream that have not already been exported. Selecting this option after an export failure will ignore any previously reported errors and proceed with the Export. This option does not apply to an Empty Export or a Stream in the Exported state.
  • Generate Load File... (applies to a Staged or Exported Stream, but not Empty) – Launches the Generate Load File dialog, which enables you to generate a new load file or new version of an existing load file based on the following:
    • A change to the Export Location
    • A change to the load file format and option to split the load file
    • A change in mapping used for an Export Stream (or Volume), to generate a new version of an existing load file
    • Last update dates, so you can generate a filtered load file that contains only the last updated entries associated with update dates you select.
  • Export Duplicates Volume... (applies to a Staged or Exported Stream, but not Empty)If an eDiscovery Export Stream has settings that include Remove Duplicates from Export and Load File, you can use this option to launch the Export Duplicates Volume dialog and generate a Duplicates Export Volume that either produces the Duplicate Files at the Export Data Area (along with a Load File), or produces only a Load File that contains references to the previously exported Duplicate Source Files.
  • Create Near-Duplicate Metadata... (applies to a Staged or Exported Stream, but not Empty)For a selected Staged or Exported Stream, you can use this option to launch the Create Near-Duplicate Metadata dialog and request Near-Duplicate processing on-demand to create Near-Duplicate Metadata for the Export Stream. This enables you to perform Near-Duplicate analysis at any time for an Export Stream, unless the Export Stream's Near-Duplicate information is up-to-date.
  • Update Custodians (applies to a Staged or Exported Stream, but not Empty)An Export Stream provides a snapshot of the Custodian assignments for its documents at the time the Export Stream was processed. If you subsequently change the Custodian assignment for documents that are part of your Export Stream, you can use the Update Custodians operation to propagate the changes to the Export Stream. (A given document can only be assigned to one Custodian, so saving a document to a Custodian will change the Custodian assignment.)
  • Edit... (applies to a Staged, Exported, or Empty Stream)Launches the Edit Export dialog, which enables you to edit the name or description of the Export Stream (for example, to fix a typo in the name, or to add a helpful description about the name change).
  • Delete (applies to a Staged, Exported, or Empty Stream) – If you have Exports - Deletepermissions, deletes an existing eDiscovery Export Stream and all Volumes associated with that Export Stream. You are asked to verify the deletion of the Export. You cannot delete all Export Streams at a time.
