Requires Project - Tags - View, Add/Edit, Delete Permissions

Users with the appropriate permissions can create a Tag while they work within document lists, selecting documents for Tagging. Users with permissions can also manage the set of Tags available in the Project using the Tags screen from Project Settings:

  • Review the list of Tags (for example, Potentially Responsive) in the Project. Tags must be unique within theProject.
  • If you have the appropriate permissions, create a new Tag, which launches the New Tag dialog. All Tags are implicitly enabled.
  • If you have the appropriate permissions, edit an existing Tag, which launches the Edit Tag dialog.
  • If you have the appropriate permissions to add/edit Tag templates, you can save your Tags to a template using the Save to Template option, which enables you to select a target template for the Tags, or you can select the top-level (New Template,) which launches the New Template dialog.This option is available by clicking the ellipses to the right of Tags in the list of Project Settings.
  • If you have permissions to add/edit Tags Project Settings, you can load Tags from a template you select using the Load from Template option. The loaded Tags then appear in the settings. When you use Load from to load Tags from a template, the loaded settings are saved automatically. This option is available by clicking the ellipses to the right of Tags in the list of Project Settings.
  • If you have the appropriate permissions, delete a Tag.

Note: When using Save to or Load from, the templates you can select include the Default Organization template for the Tags, or a System template for the Tags.

Tags Summary

  • Name (default sort column) – The Tag name (shown with its assigned color) that you can use in searches (in the appropriate tag_view format). The Tag name must be unique within the Project and is subject to validation upon creation or edit. The name can include alphanumeric characters, spaces between characters in the name (leading and trailing spaces are ignored), and some supported characters (such as a hyphen, underscore, and apostrophe). During validation, the software will also allow characters from foreign languages (for example, Korean characters). However, the following characters are not supported for Tag names and will generate an error message indicating that your entry contains invalid characters:

Note: Aside from Tags, these character restrictions apply to most tree items, such as Imports, eDiscovery Exports, Review Sets, Review Productions, Folders, Saved Searches, Workflows, Comparisons, Sample Sets, and Synthetic Documents. To support auto-discovery of Custodians based on staging, a Custodian name has fewer restrictions regarding invalid characters.

  • Description – A short description of the Tag.
  • Created By – The login name of the user who created the Tag. .

Tag Options

To create a Tag, click the New Tag button, which launches the New Tag dialog. This action requires Tags - Add/Edit permissions.

For an existing Tag, you can right-click a Tag (or click the ellipses at the far right) and select any of the following actions:

  • Edit – Launches the Edit Tag screen, which enables you to change the Tag information (name, description, or color) for a selected Tag, and have that change applied to all documents with that Tag automatically. Any modification to a Tag must maintain the Tag’s name uniqueness within the Project. This action requires Tags - Add/Edit permissions. In general, you should not change the name of a Tag if you have an export that has relied on that Tag.
  • Delete – If you have Tags - Delete permissions, you can remove a selected Tag view for a Tag and all document associations to that Tag from the Project. If the Tag has not yet been applied to any documents in the Project, a general deletion popup asks you to confirm the deletion by clicking Delete, or you can click Cancel to cancel the operation. If the Tag has been applied to documents in the Project, a Tag-specific popup warns you that deleting the named Tag will also remove the Tag from the appropriate number of documents (for example, Deleting "mytag1" will also remove "mytag1" from 5,000 documents). You are asked to verify the deletion of this populated Tag view by clicking Delete, or you can click Cancel to cancel the operation.

Tags: Save to and Load from Template Options

If you have the appropriate permissions, you can save your Tag Settings to a template or load the settings from a template. To do this, click the ellipses to the right of Tags in the tree of eDiscovery Project settings, as follows:

Note: Save to and Load from operations for this setting observe an "append" behavior. For example, for a Load from operation, your current settings are preserved and only new, unique items from the source template/settings are added. Items with any name collisions are not added. Note that other settings, such as Index settings and Analytic settings, observe an "overwrite" behavior instead.

  • Save to Template - If you have Add/Edit permissions to Tag templates in the Organization, you can use the Save to Template option to save your current settings to a selected Organization template. You can either select an existing Organization template (including the Default Tags template), or you can select the top-level (New Template,) which launches the New Template dialog.
  • Load from Template - If you have Add/Edit permissions to Project Tags, you can use the Load from Template option to load settings from a selected template (from a list of available Organization templates). The loaded settings then appear and are saved automatically. Note that loading from a System template requires System-level View permission for a given Setting. (This means you must be a System User in a role with at least View permission to see a list of System templates for a particular type of template.)
