Manage Excluded Content in a System Template

System Users in a System-level role with the appropriate permissions can define one or more Excluded Content Blocks in a System template and use the template to have blocks of content automatically removed from the content index at import or reprocessing. (The removal of the content block from the index will take effect at the next import or reprocessing operation.)

Once the block of content is removed from the index, a content search will not find that block of content. Note that you will still be able to see the block of content in the Text tab as well as HTML tab of the Document Viewer.

When you select a template type from the System Settings, a user with the appropriate permissions can use the top-level Templates context menu to perform the following action:

  • Create a template by clicking the (New Template) option, which launches the New Template properties dialog.

For a selected template, a user with the appropriate permissions can click the ellipses and use the context menu to perform the following actions:

  • Save to Template – Launches the Save to Template dialog, which enables you to save current settings to an available template, or select New Template, which launches the New Template dialog.
  • Load from Template – Launches the Load from Template dialog, which enables you to load the settings from a System template or Organization template you select using the option. The loaded settings and fields then appear.
  • Edit – Launches the Edit Template dialog, which enables you to edit the template name and/or description of the selected template.
  • Delete – Delete a template, which causes the display of a popup asking you to verify the deletion of the template from the Organization.

Excluded Content Summary

The Excluded Content summary shows information about each Excluded Content Block, as follows:

  • DescriptionClosed Provides a helpful description of an item. A description can have up to 255 characters. – Provide an optional description about the purpose of this Excluded Content Block.
  • Content (required) – Specify the Excluded Content Block that will be removed for content searches if the list is in effect at import or reprocessing as a Project Setting or the template is in effect in the Project. This means that the block of content is not part of the content index, and a search for content will not find it. Note that you will still be able to see the block of content in the Text tab as well as HTML tab of the Document Viewer.
  • Created By – The login name of the user who created the Excluded Content Block.

New and Selected Excluded Content Block Options

To add a new Excluded Content Block, use the top-level New Content Block option.

For a selected Excluded Content Block, right-click the Block or click the ellipses at the far right to see a menu with the following options, as long as you have permissions to perform those actions (actions that are not permitted will be grayed out):

  • Edit – Enables you to edit a selected Excluded Content Block.
  • Duplicate – Enables you to duplicate a selected Excluded Content Block.
  • Delete – Deletes a selected Excluded Content Block upon confirmation.
