Project Members with the appropriate permissions can select Project Settings > Metadata View Fields to view, modify, create, and delete Organization templates for the Metadata
Metadata view fields are the fields that are displayed when you view document metadata. Because needs vary based on the types of data and eDiscovery goals involved, Digital Reef supports the definition of multiple templates for metadata view fields, as well as several other functions.
When you first access Project Settings > Metadata View Fields, the Organization's predefined Default Document Metadata template is loaded and reflected in the Metadata View Fields section (fields that are included in the template) and Available Fields section (those that are not). If additional Organization templates have been created, you can load one of those instead, or (if you have the needed permissions) an existing System template. After you make changes, you can save them to a new template. In this way, Users within an Organization have access to a set of Metadata Views they can use as is or adapt for their Projects and save, rather than creating a new one for each job.
You can also download the currently loaded template as an XML file or load a template from a local XML file, allowing you to share templates among different Projects and Organizations.
Loading from and Saving to Templates
To load from an existing Organization template, and optionally make changes and save them, right-click Metadata View Fields in the Navigation tree or click its context menu icon () on the right and select Load from Template or Save to Template.Each option then displays the templates you can select for this purpose, depending on your permissions. For example, all Project Members are able to load the Organization's templates including those they have created, and if they are System Users they can load System templates as well. However, they may be able to save only to the templates they have created, while if they are an Organization Administrator they can save to the Organization's Default Document Metadata template as well as the full set of Organization templates.
After you have loaded from a template and made changes to the Metadata View Fields list, you can use the Save button to save your changes to the template you loaded from or the Save to Template option to save to a different one. You can also use Load from Template to load from the original template again or from a different one, thereby discarding your changes.
Note: Loading metadata view fields from a template automatically overwrites your current selections with those in the template. Saving your selections to an existing template automatically overwrites the fields in the template. Some fields, however, such as those representing patterns, tags, domains, aliases and
Available Fields
The Field Name column in the Available Fields section lists the metadata fields that have not yet been selected as Metadata View Fields, in alphabetical order; you can filter it by entering a name or partial name in the filter box.
You can reorder the Available Fieldslist by dragging one or more fields (using the drag control on the left) to a new location, or you can filter it by entering a name or partial name in the filter box; when the list is filtered, you cannot drag the fields to reorder them.
To add fields to the Metadata View Fields list, select one or more and drag them to any spot you choose within the current list, including the end (Drag fields here ...).
Metadata View Fields
The Field Name column in the Metadata View Fields section lists the fields that are selected to display when you view document metadata using the template; you can filter the list by entering a name or partial name in the filter box. A number of email-related fields (bcc, cc, from, received, sender, sent, subject, and to) and key properties (filemd5, filename, filetype, size, handle, and importpath) are included in the provided Default Document Metadata template.
To reorder the fields in the Metadata View Fields list, you can select one or more and drag them (using the drag control on the left) to the desired location. To remove a field from the list and return it to the Available Fields list, click the trash icon on the right.
A template must include at least one field in the Metadata View Fields list; you cannot save an empty template.
